RECOMPRESSION 2008 – Planning Meeting

Tuesday February 26, 2008,

Hosted by Yonderboy, Chair Diana Penney

Call to Order: 7:30pm,

Welcome extended by Dianamite. In particular, thanks given for early (and cash) purchase of tickets, especially donated funds. Diana would like consideration given for using these donations to create more sponsor tickets to meet the anticipated demand this year. Diana requested a report from various pod leads/team as well as update of the Art Grant Process and a review of the 'Event Coordinator' role, as it relates to GVIAS.

Art Grant

* Allison and Steven are the people in charge of recommending award of funds for the Art Grants and shall be reviewing all submissions
* Money comes from GVIAS identified funds (See 2008 Budget)
* Steven/Allison approve grant submissions but cheques will be issued from GVIAS; each transaction will be separately recorded in our financial records.
* The money will come from funds raised at Recompression and in the future, from other sources that raise capital for projects that fall within GVIAS guidelines. Clarification – guidelines are not yet drafted; this will be part of the work of the new Board after the AGM
* Grants are intended to get Art to Recompression, not to make Art itself
* Grant money needs to be asked before the event and all expenses need to be supported with quotes/receipts or other proof of purchase
* Funds will be granted on a first come, first serve basis
* $2500 budget for grants based on 250 tickets sold - more tickets sold, more grant money (but less tickets sold equals less grant money)
* Please submit your final grant proposal no later than 26th of March


Coordinator/Events Person – Discussion followed on how to formalize and to empower small groups of people, each tasked separately, to help move an Event forward with success. This is further to Eric (Nemo) suggestions regarding a Producer or event coordinator that takes the volunteer efforts of many to produce a seamless event.

* Aquarius volunteered to be Recompression's Spear Point Pod Leader whose role will be to coordinate all the various parts and have them all in sync
* While she does not have to attend meetings, Spear Point Pod Leader (SPPL) will be very active liaising with all the groups
* SPPL is THE Go-To-Person for all pod leaders for information coordination; please submit via email so she can sort the various requirements out. SPPL's key role is to ensure there is one contact person coordinating all team information to create a single source or flowchart of activities. spearpoint@recompression.com


Pod Leader Report / Call Out:

* Art Grants/ Placement - Allison & Steven (see above)
* Cabin Themes - squishelle who noted that 6 cabins are claimed so far; she is working on cabin placement to ensure minimal conflict
* Workshops - Jenny & Eric
* Moose Lodge - Noam – Pleased to report that a CARNIVAL Theme has been decided upon this year. Picture: Big Top (parachutes) with Trapeze, maybe some mini-tents that individuals bring and maintain that have a related theme such as a Minuscule of Sound space where there is enough room for about five people whom squish up against one another and dance to a boom box with music; Yonderboy plans to set up a photo booth (with a theme related backdrop, hopefully, right, Claire… :-)
* Fire Performance – CALL OUT (Dillon to undertake) (as of Feb 29: Belva is pod lead yay!)
* Ceremony - Aquarius & Allison: "Ceremony" and "Fire Performance" needs to be coordinated this year to avoid last minute changes and anxiety.
* Volunteer Coordinator - Kevin/BeBe the Stallion
* Transport Pod Coordinator – Michael Gove – get your space requirements in as soon as possible
* Registration - Dianamite
* First Aid Coordinator – Ute
* Talent Show - Pockets will be head and Ryan McCann will help her out.
* Web Site – Steve Zur who requested that all Pod leads submit correct email to Steven (web@recompression.com) to have the aliases forwarded to your email so that you can get the emails necessary for your pod. Please note that each pod leader will write a description of their pod activities to be posted on the web. Stripey & Roobee (Ruby) to help Steven with necessary extra web stuff
* Greeters - Yonderboy who confirmed the station will be staffed by the various cabins. This means a larger cabin would staff the peak arrival times while the smaller cabins would greet the lower demand arrival times. This is to ensure there is enough greeters there to do the job properly to avoid long line ups. We must have forms properly signed etc., to protect ours and the Camp's liability. This will require: shelter, table, light for night time, music and food for the greeters, pens for waivers, wristbands. There will be NO LIST; TICKETS MUST BE IN HAND!
* Waivers - Abel to copy again this year; Ruby to update for 2008 event info
* Ground Safety - Stripey will coordinate with Aquarius WRT to placement of tiki torches across the field for Saturday night's performance. Hannibal wants to do a walk around with Diana to see specs of certain areas to ensure Burn LNT. Anyone else is free to join camp walk through at Elphinstone. Contact Diana to set a date.

Call out for participants: BMV; BCWA; Burning_Seattle (Stripey will handle this); Tribe; ABSOLUTELY NO FACEBOOK!!!
