Minutes 1st Recompression 2010 Meeting 02/01/10
Abel offered to take minutes if no one complained re: quality
The meeting started at 7:30 p.m.
Present: Abel, Claire, Uber, Squishelle, Simon, Mr. Fireman, Buttons, Sarah White, Yvonne, Baha, Chris, Aaron M, Wendy Bunny, Toi Box, tempus, Andy W, Jason Galpin, Science Queen, Noam, Jenny, Sam, Ashley, Benson, Steven Z (24 people!)
1. Introductions, round on names
2. Uber explained the roles of: Producer (Squishelle and Abel), Technical Director (Simon) and Volunteer Co-ordinator (Claire) Uber will act as mentor
Producer: single point of contact with outside agencies before, during and after the event and responsible for coordinating location, permits, marketing, budget, schedules and administration. As well as working with art grant committee, GVIAS board and delivering final assessment/wrap-up report.
Tech Director: helps direct and coordinate all things infrastructure: theme camp Placement, stage, sound, lights, power, art installation, signage, dιcor, visuals, transportation/delivery issues, set-up and strike.
Volunteer Coordinator: go to person for all things related to volunteers and volunteers to be. Includes: outreach, coordination, skills assessment/placement, retention, volunteer tracking, record keeping, appreciation and expectation management, volunteer survey/evaluation assessment and conflict management.
3. Roles of pod leaders based on last year explained:
a) Art Grants group already formed via GVIAS, Erik the Red will lead
- requests coming in thru gvias.org
b) Cabin Monitor and Leave No Trace Abel explained roles
- Preferable that LNT/CM leaves later on Sunday
- LNT supplies recycling/garbage bags for cabins, in past have also provided cigarette cans different this year
- Make clear signs for each cabin as to what kind of clean up id rqrd
- CM communicates with each cabin lead as to expectations
c) Chill Space/Moose Lodge Squish explained the difference
d) Communications Abel and Squish will send out info
e) Department of Public Works anything we change at the site to suit our needs
-safety/signage, lights, tiki torches, etc.
f) The Effigy who will design and construct?
-Abel suggested regional symbol like Moose for Mooseman @ ONT burn
g) Fire Performance - Belva has offered to lead
h) First Aid/Peer Support ambulance vs. volunteers to be discussed
i) Food Abel explained process for choosing food menu-
shifts for food service to combat lines? TBDiscussed later
j) Gate/Greeters previous leads will help
- gate and greeter times MUST be coordinated
k) Healing Space last year was in common area of Quiet Lodge
- design is open to interpretation
massage tables/shrine in past
l) Opening Circle Satya did last year open to interpretation
m) Talent Show Science Queen explained purpose to showcase tale
- flexibility worked for her in terms of booking length/time of performances
- advises to pick an amazing MC for success
n) MC during meals, announcements, etc. , do we get a microphone?
o) Involvement Outreach (new) Bebe will harass the noobs into participation
p) VJ Manager (new) in charge of people to create visuals
q) Placement Abel explained process she came up with grps getting lodge vs. cabin
- must learn how to update wiki and be on email every day
r) Program Kevin S. not able to do it this year
- person collects info, organizes it and sends to printer
s) Rangers have radios and uniforms now, keep in touch with first aid
- few problems last year
t) Sound/DJs Uber lends equipment again, did set up last year
- requires coordination btwn people
- Science Queen explained process of selecting DJs
- call out for DJs on wiki with criteria (style, when, demo cd)
- hardest part = picking order
- must be able to handle various DJ personalities, some organization on site
*Sam suggested having performers send in photo
u) Theme Buttons expressed interest in leading pod, discussion later
v) Transportation lead needs to get the truck, figure out who needs transport
- organize pick up, unload and reload
-should be good at tetris and email every day
w) Volunteers Noam explained role talk to pods to find who needs volunteers
- before, during and after event / must be good cheerleader
- had some difficulties with finding first aid volunteers
x) Web maintenance Update Wiki every day
-general recomp contact and programs email redirects
y) Work Shops Jenny explained process
-must be on email daily, give a specific deadline
- dont make the schedule until you get on-site
- find out what type of space they need
-set up email redirects for work shop leads/use submission template

- it is a method of holding a conversation with lots of people
- participants will have option to ask questions for discussion at later date
